Booking Fee/Upfront payments
A non-refundable booking fee of £200.00 will be required which secures the date and includes any associated administration/correspondence – This booking fee amount will be deducted from the full balance as per the original quote. The full trial payment of £240.00 is due upon confirmation of your booking to secure the chosen trial date. This payment is non-refundable and forms a mandatory part of the booking process.
By paying the Booking Fee you agree to accept all terms and conditions.
*IMPORTANT INFO* - The wedding date is only secured once the Booking Fee payment has been received. The payment must be paid within 48 hours of the documentation being sent to you or the date will be released and may be booked by another bridal party.

Quotations
Quotations are valid for 14 days from the date the quotation is sent to prospective brides, due to yearly price increases Carly Cox Wedding Hair reserves the right to amend the quotation after the 14-day period has expired.
Trial
Trials are held on Monday’s or Friday’s at 10:00am. Sunday trials are subject to availability and can only be booked in exceptional circumstances where a Monday or Friday is not possible for the bride. Please note that availability is limited, and Sunday trials are offered at my discretion.
Trials are held at my OX12 location. Unfortunately, I am unable to travel for trial appointments, as this allows me to provide the best experience in a dedicated setting.
Please note the trial duration is for two hours and thirty minutes, any additional time required will be chargeable at £15.00 per every half an hour. For a Hollywood Wave trial three and a half hours are required.
Children are unable to attend bridal trials due to health and safety and limited space. The trial environment needs to remain calm and focused to ensure the best experience for both the bride and stylist.
Trial Booking and Payment Policy

If you request to change the date and a suitable alternative cannot be found due to availability, the original payment of £240.00 will be forfeited. If a trial needs to be moved to the wedding day due to lack of availability, an adapted version of the trial will be offered on the morning of the wedding at an additional cost of £100.00, subject to feasibility. Should timescales on the morning prevent the option to carry out a trial consultation then the £100.00 is still payable for a video call consultation prior to the wedding date.

Trials for additional bridal party
Trials are exclusively available for brides, as the priority is ensuring the best experience and outcome for your bridal look. If a trial is required for another member of the bridal party, this will only be considered under exceptional circumstances and must be requested at the time of booking. Any additional trials will be an extension of the bride’s trial session and are subject to availability.
Hollywood Waves Service
A Hollywood wave service is a minimum of two and a half hours to complete, 100% human hair extensions for this service are required and are to be purchased by the bride for the wedding day and ideally provided to use at the trial.
*Extensions are not included in the quoted price and are purchased by the bride in addition.
If a Hollywood wave is a considered style choice the bride must bring this to Carly’s attention upon booking.
Should a booking be confirmed and processed with the associated fee paid, with no mention from the bride of a Hollywood wave or if they have a change of mind upon trial, this will result in Carly being unable to complete all services stated on the original booking (due to the additional time required for the Hollywood wave service).
If this scenario does arise Carly will provide details of recommended stylists for the bride to contact who may be able to assist with any services she is unable to complete.
If none of the recommended stylists are available, it is then the bride's responsibility to source their own stylist to assist with the services that Carly is unable to complete.
Due to the Hollywood wave service time this may result in Carly having to pass over guest services to another stylist. If this then reduces the costing to under the minimum booking charge the minimum booking charge will apply.

Invoicing & Payments
An invoice to secure the booking and your trial date will be raised (Booking Fee) and sent once you have confirmed that you are happy with the quote and is payable within 48 hours – Failure to pay within this timescale with result in your date being released.
An additional invoice for the remaining balance will be raised and sent approximately two months before the wedding date and will need to be paid within four weeks of receiving the invoice.
Minimum Booking
There is a minimum booking charge of £740.00 plus fuel.
For example, minimum booking includes one Bridal hair service and three Guest Services.
I am happy to take on smaller bridal bookings however, the minimum booking charge will apply.
For weddings, out of peak season, or on weekdays the minimum booking fee may be removed at the discretion of Carly.
Freelance Additional Stylist(s)
If an additional stylist is required to complete hair services alongside Carly for larger bridal parties (due to limited time frames on your wedding day), £150.00 additional stylist fee will be applied to your quotation.
The additional stylist fee of £150.00 covers: Sourcing & securing of the stylist for your wedding date, along with all associated administration, scheduling, correspondence, and travel organisation required.
Additional stylist services are charged at £120.00 per service for styling on the day and are separate from the £150.00 additional stylist fee.
A minimum of 3 x Guest services are required for an additional stylist to accept the booking. Availability of an additional stylist will be checked when you confirm your booking.
These additional stylists are independent freelance stylists who run their own businesses and are not employed by or working under the direction of Carly Cox Wedding Hair.
Carly takes care to ensure that any freelance stylists she invites to assist are experienced and uphold the same professional standards that Carly Cox Wedding Hair is known for. However, they operate independently and are responsible for their own conduct, performance, and insurances. Their services are not directly managed or supervised by Carly Cox Wedding Hair, and as such, no liability can be accepted for the outcomes of the work.
As a courtesy, I may coordinate and forward payments to these freelancers on your behalf, but please note that any feedback, concerns, or disputes relating specifically to their services should be addressed with the stylist directly.
By receiving your Booking Fee and additional stylist deposit payments, you acknowledge and accept the independent status of any additional freelance stylists and agree that Carly Cox Wedding Hair is not responsible for the delivery of services provided by them.
At the stage a bride confirms they wish to proceed with booking my services I will check the availability of my additional stylists. Their availability is subject to their prior commitments, in the event that my regular additional stylist are unavailable I will communicate this promptly and it may be necessary for the bride to arrange for an alternative stylist. I am happy to provide guidance and recommendation to support this process if needed.
Freelance Additional Stylist(s) Cancellation & Amendments policy
Once your Booking Fee of £80.00 has been received to secure your freelance additional stylist, a minimum of three services is required for any booking involving a freelance additional stylist. If at any stage services are reduced below this minimum, the cost equivalent to three services will remain payable in full.
Where amendments are made that reduce the number of services but still maintain at least three services, the following charges will apply on the cancelled services:
• Within 6 months of the wedding date: 50% of the cancelled services remains payable.
• Within 2 months of the wedding date: 100% of the cancelled services remains payable.
These terms ensure the minimum booking requirement is upheld while also protecting the time reserved by freelance additional stylists.
Cancellations due to circumstances out of your control
If you find yourself in a position whereby you need to cancel your booking due to unforeseen circumstances out of your control such as a lockdown, National or Local restrictions that will not allow your wedding to take place your booking fee can be transferred to a new date and there will be no additional charge providing I am available. However, you may incur additional charges due to inflation when moving to an alternative year. Should I be unavailable for your new date I will recommend reputable stylists for you to contact, and the initial booking fee remains non-refundable.
Cancellations by myself
Should I find myself in an unfortunate and rare situation due to illness, personal emergency, injury, or circumstances out of my control I will, of course, seek to provide a suitable replacement. This of course cannot be guaranteed, and should I be unable to provide a suitable replacement a full refund will be provided excluding any trial costs.
Booking amendments / Cancellations by the client
Amendments such as removing services from the booking can be made up to six months prior to the wedding date.
Amendments under six months before the wedding date 50% of the service(s) that are being cancelled will still be payable by the client.
Amendments under 2 months before the wedding date 100% of the service(s) that are being cancelled will still be payable by the client.
Should the booking total amount fall under the minimum booking charge after amendments the minimum booking charge will apply.
If you wish to cancel your booking, six months' notice is required. Under six months' notice, 50% of the total booking will be payable by the client.
Travel & Charges
Mileage for my travel to and from the wedding hair location will be charged at £0.75p per mile. (*Mileage for travel will be calculated from the OX12 postcode).
All clients will be required to cover any travel expenses such as mileage which will be quoted at your time of enquiry. For bookings that require me to travel more than one hour thirty minutes from my home location of OX12, a hotel / travel fee will be charged and will be included in my quotation.
Parking
Due to the equipment I will need to bring with me, I kindly ask that parking be available on-site or nearby. If there are any parking charges, these will need to be disclosed to me in advance, and the cost will be included in the final invoice.
Destination Weddings
For destination wedding bookings, costs for flights, airport transfers, and parking both in the UK and at the wedding destination will be provided by the client and will be included in my quotation.
Moving locations
Should you require me to start hair services at one venue and change to a different location to complete the hair services there be a £50.00 venue change charge applied per stylist.
Wedding Day Hair Expectations
Every effort will be made to ensure that your hairstyle is completed to a professional standard, securely styled and prepared to last throughout your wedding day. However, hair is a natural fibre and its appearance may be affected by factors outside of my control, including but not limited to weather conditions, humidity, wind, rain, temperature, physical activity, dancing, touching of the hair, placement or removal of veils and accessories, and contact from hugging or embracing others.
Whilst I use professional products, techniques and preparation methods to maximise longevity, no hairstyle can be guaranteed to remain completely unchanged throughout the duration of the day.
Reasonable movement, softening, loosening of curls or waves, and minor changes to the appearance of the hairstyle over time should be expected as part of the natural behaviour of hair and do not constitute a fault in the service provided.
Inspiration Images & Style Interpretation
Inspiration images are welcomed and are used as a guide when discussing and designing your bridal hairstyle. However, hairstyles are not copied exactly, as every individual has different hair characteristics, including length, density, texture, colour, growth patterns and natural movement.
Many images found online, including those shared on social media, may have been professionally styled, edited, filtered, enhanced, or generated using artificial intelligence (AI). As a result, the appearance of a hairstyle in an image may not accurately reflect how hair behaves in real life.
My approach is to create a bespoke hairstyle tailored to you, your hair type, your chosen look and the conditions of your wedding day. Whilst every effort will be made to achieve the desired aesthetic discussed during your trial and consultation, exact replication of any image cannot be guaranteed.
Client Responsibility
The client must provide information that may limit the use of any equipment or associated products, including allergies, sensitivities, medical conditions, and medication. A record of this information will be documented on the trial consultation form.
I cannot be held liable for loss or damage resulting from failure to provide me with any information stated above, and I reserve the right to refuse hair services to any members of the bridal party who may be deemed to be at risk.
Photography / Images
The client agrees that photographs that include hairstyling of the bride or bridal party which has been completed by myself or a stylist recommended by Carly Cox Wedding Hair can be repurposed purely for business use such but not limited to websites, social media platforms, and or other forms of business advertising.
Data Protection
It is required by law to retain records of your services including personal data. All personal data is stored securely and cannot be accessed by anyone other than myself or the stylist provided. This data is used to carry out your instructions and to make contact when required. Records are kept for six years, after which time (provided you are no longer a client) will be destroyed securely. There are no circumstances under which this information might be passed on to a third party.
